Due to reduced capacity constraints, and to prioritize the trial program participant experience, guests must be hosted in a conference room. Guests are allowed in the Space for the duration of the Room booking. All guests must be registered, checked-in at the front desk, and accompanied by a trial program participant at all times.
Meetings should take place within pre-booked conference rooms, but not in communal or quiet areas (where they may disturb other coworkers). Guests are permitted to use business support services including wifi and printing. Guests are not permitted to use amenity rooms (e.g. Nursing Room, Shower Room, Beauty Room) or access member only areas. Designated guest facilities are clearly marked.
Everyone, regardless of their perceived gender or gender identity, is welcome in Wing coworking spaces. Recognizing that gender identity is not always consistent with someone's sex assigned at birth, we do not ask guests to self-identify.
All guests must commit to and abide by the Wing’s Health & Safety Standards, Culture Code, and House Rules. Guests are required to sign a Participant Waiver and Health Declaration upon entry into a Wing coworking space. Trial program participants are strictly liable for the conduct of their guests.
CONFERENCE ROOM POLICY
Room bookings are to be made via The Wing’s booking platform and may also be made at the front desk. Room scheduling is accepted on a first-come-first-served basis. Conference rooms are available to book for minimum one hour slots. Room bookings are only accepted during Wing operating hours. Conference room bookings should be cancelled within 24 hours of the booked time.
Rooms may only be used if pre-booked. If a trial program participant has not booked a room but is found using it, they will be asked – and expected – to vacate it, even if it is not booked by someone else. If it is available and they wish to remain, they will be charged accordingly.
By booking a Room any fees are agreed to, and terms shared at the time of the booking are compiled with. A single seat reservation does not include any complimentary conference room credit. A 3-day space access package includes one (1) hour of complimentary conference room credit. An Unlimited space access package includes two (2) hours of complimentary conference room credit. Complimentary conference room credit may not be transferred.
Trial program participants and their guests shall not exceed the occupancy requirements of the Room as stated in the booking tool.
Bookings includes the use of all technology and tools within that room. Technical assistance is made available where possible to assist with Room set up. Requests for use of additional audio or visual equipment, furniture, and any equipment owned by The Wing must be made at the time the booking. The Wing does not guarantee the availability of any equipment.
Trial program participants and their guests shall not make excessive noise that disrupts normal Wing coworking space functions or other coworkers’ use of the Space.
Trial program participants agree to maintain the Room in a clean and safe manner, and to leave the Room in the condition in which they found it. Trial program participants should remove leftover food, containers, beverages, and all other personal or group-owned items into supplied trash and recycling receptacles. Time to set up and clean up must be included within the scheduled booking.
Trial program participants and their guests shall observe the Culture Code, House Rules, and all policies applicable to Wing coworking spaces.
Use of a Room does not constitute The Wing’s endorsement of any trial program participant or their guest’s product or service.
Right to Cancel
If necessary, The Wing reserves the right to cancel the use of a Room, including but not limited to health and safety, inclement weather, or unexpected building closures. The Wing shall use its best efforts to trial program participants if The Wing intends to cancel the use of a Room.
FOOD & DRINK POLICY
Trial program participants are permitted to bring in outside food and drink to the Space. Outside food delivery to the Space is also permitted. Trial program participants are responsible for coordinating and receiving all of their food deliveries. To the extent possible, a designated area for deliveries will be established in the reception area to limit contact. All food, drink, and other items left in the Space unattended are left at the trial program participant’s risk. Employees are not responsible for coordinating deliveries, providing notification of arrivals, or delivering orders to the trial program participant’s location in the Space.
Free, self-serve drip coffee, tea, and water is available.
Communal areas are used as shared dining spaces. Coworkers with allergies are particularly warned that it is possible to come into contact with allergens.
When dining in the Space, trial program participants are asked to be considerate of the environment, other coworkers and to always clean up after themselves. Trial program participants should dispose of all garbage and recyclables in their proper receptacles. Communal areas are regularly cleaned in alignment with heightened hygiene and cleaning standards. Wing employees are not responsible for any food or drink items which may be lost or displaced as a result.
Outside alcoholic beverages are not permitted.
BILLING, CANCELLATION, REFUND POLICY
Space Bookings including Single Seat and Conference Room reservations may be cancelled at any time prior to the start of the booking. So as to enable other participants the opportunity to book and access the space, 24 hour notice of Single Seat and Conference Room bookings cancellation is strongly preferred. Once cancelled, bookings will be returned to the trial program participant’s Space Access package total, and available for rescheduled use.
Space Access packages are purchased for use during the trial program period, and are valid September 14 - October 1, 2020. All packages purchased during the trial program period will expire close of business, October 1, 2020. Any unused access does not carry over, and is not eligible for refund.
Trial program participants experiencing symptoms of Covid-19 are encouraged to stay home. Bookings may be cancelled at any time prior to the reservation for a credit.
